Privacy notice

This notice explains how ResidnZ ("ResidnZ", "we", "us" or "our") handles personal data submitted through the public ResidnZ website. It applies to website visitors and people who contact us about a demonstration, proposal, migration assessment or other business enquiry.

Scope of this notice

This notice covers the public marketing website and its enquiry forms. Personal data processed inside the ResidnZ customer platform is also governed by the applicable customer agreement and product documentation. Where a housing society, property manager, PG operator or other customer controls that data, requests about the data should normally be directed to that organisation first.

Personal data we collect

Depending on the form you use, we may collect:

• Your name, mobile number and email address.
• Your organisation or society name and city.
• The product you are interested in, number of units, beds or properties, your current system or process, migration needs, preferred demonstration time and any message you provide.
• The page used to submit the enquiry, referring page and campaign information such as UTM source, medium and campaign.
• Limited technical and security information processed by our hosting and security providers, such as IP address, browser information, request time and diagnostic logs.

Please do not include sensitive personal data or information about residents, tenants, employees or other third parties in a free-text enquiry.

Why we use personal data

We use this information to:

• Respond to your request and contact you by phone, email or another method you ask us to use.
• Arrange demonstrations, understand requirements, prepare proposals and assess onboarding or migration needs.
• Maintain enquiry records, avoid duplicate follow-up and improve our sales and customer-support process.
• Measure which pages and campaigns generate enquiries.
• Protect the website, prevent spam or abuse, troubleshoot problems and comply with applicable law.

Where processing is based on your consent, you may withdraw that consent at any time. Withdrawal does not affect processing already carried out and does not prevent us from retaining information where required by law or necessary to establish, exercise or defend legal claims.

How we share information

We do not sell personal data. We may share it only as reasonably necessary with:

• Authorised ResidnZ personnel who handle sales, onboarding, support, security or administration.
• Service providers that host the website or backend, deliver communications, support customer follow-up, monitor security or provide professional services. They may process data only for the services they provide to us and under appropriate contractual safeguards.
• Professional advisers, courts, regulators, law-enforcement bodies or other authorities where disclosure is required or permitted by law.
• A successor organisation in connection with a merger, financing, reorganisation or transfer of all or part of the business, subject to appropriate confidentiality and legal safeguards.

International processing

Our service providers may process information in locations outside your state or country. Where this occurs, we take reasonable steps to use providers and safeguards consistent with applicable data-protection requirements and any restrictions notified under Indian law.

Retention

We keep enquiry information only for as long as reasonably necessary to respond, manage follow-up, maintain business records, resolve disputes and meet legal obligations. If an enquiry becomes a customer relationship, relevant records may be retained under the customer agreement and applicable record-keeping requirements. Information that is no longer required is deleted or anonymised in accordance with our retention process.

Security

We use reasonable technical and organisational safeguards designed to protect personal data, including access controls, transport security, operational logging and restricted administrative access. No internet service can guarantee absolute security, so please use the contact below if you believe information has been exposed or misused.

Your choices and rights

Subject to applicable law, you may ask us to:

• Confirm whether we process your personal data and provide a summary of that processing.
• Correct, complete or update inaccurate information.
• Erase information that is no longer required for its stated purpose, unless retention is required by law.
• Withdraw consent or ask us to stop enquiry follow-up.
• Address a privacy grievance or record a nomination where that right applies.

We may ask for enough information to verify your identity and locate the relevant record before completing a request.

Children's data

The website enquiry forms are intended for adults acting in a personal or business capacity. They are not directed to children, and we do not knowingly request personal data from children through these forms.

Changes to this notice

We may update this notice when our practices, services or legal obligations change. The date at the top shows when it was last revised. Material changes will be communicated through an appropriate website or direct notice where required.

For access, correction, erasure, consent withdrawal or any privacy grievance, email privacy@residnz.com. Please include enough detail for us to understand the request, but do not email passwords, payment credentials or unnecessary sensitive information.
